How to Build an Online Business System You Own: Website, CRM, Store, Course and Community

An online business system you own has five parts: a website, a CRM, a store, a course and a community, all connected to one contact record and set up on a domain and accounts registered in your name. Build them in that order, starting with the domain. Separate tools for the first parts cost about $92 a month, all-in-one software about $81 to $143 a month, and a done-with-you build starts at $2,997. Whichever path you choose, owning it means you can export your contacts, customers and content and move without losing them.

The five parts

What each part does, and what you should own.

Website
Your public address: pages, your offer and the forms that capture leads.Own: The domain, registered in your name at a registrar you can log in to.
CRM
One record per person: where they came from, what they booked, bought and opened.Own: A contact export you can download as a file at any time.
Store
Checkout and payments for your offers, with a follow-up after each purchase.Own: The payment account, such as Stripe or PayPal, in your business name.
Course
Lessons, downloads and member access for what you teach.Own: The original videos and files, also kept in your own storage.
Community
Members, posts and events in one place instead of scattered group chats.Own: The member list, so you can invite people again if you ever move.

Setup order

Build it in this order.

Each step feeds the next. You may not need all five parts on day one, but skipping the early steps makes the later ones harder to connect.

  1. Step 1

    Domain and email setup

Register the domain in your name. Set up SSL and email authentication (SPF, DKIM, DMARC) so your emails reach the inbox.

  2. Step 2

Website with one offer and one form

Start with the page that explains what you sell and a form that captures interest. More pages can wait.

  3. Step 3

    CRM and the first follow-up

Connect every form and booking to one contact record, then add a welcome email so no lead waits for you.

  4. Step 4

    Store and checkout

Add checkout and payments for your offer, and a follow-up email after each purchase.

  5. Step 5

    Course

Build the course once people are buying, so you teach what they paid for.

  6. Step 6

    Community

Add the community last, when you have members to talk to. An empty community works against you.

Costs

Three ways to pay for it.

USD, annual billing shown per month, from each provider's own pricing page on 31 October 2026. Payment processing fees come on top in every case.

Separate tools, you set them up

About $92 per month

Wix Core, Calendly Standard, Kit Creator (1,000 subscribers) and Zapier Pro (750 tasks) cover website, booking, email and the connections: $92.26 per month. Adding Teachable Builder for a course brings it to $161.26 per month, still without a community.

Export steps

How to check that you really own it.

Ownership is not a feature on a pricing page. It is what you can take with you. Run these checks on any setup, including one we build.

  1. 01Log in to your domain registrar and confirm the domain is registered in your name.
  2. 02Export your contacts as a file. In Kajabi, for example, go to Contacts, Bulk Actions, Export All, and the file arrives by email.
  3. 03Export customers and orders from your store or payment provider.
  4. 04Keep the original course videos and files in your own storage, not only inside the platform.
  5. 05Save your community member list.
  6. 06Export before you cancel anything. The eStage agreement asks you to export your content before it ends and keeps it available for a reasonable period, typically 30 days, before deleting it.
  7. 07Repeat the exports once a quarter, not only when you plan to leave.

An example: promindhub.com runs this way, with website, CRM, checkout, email, community and courses in one eStage project. We do not show a client example here yet. We will add one when a client agrees to be named.

Questions

What coaches ask before they build.

01What does it mean to own your online business system?

It means the domain, contact list, payment account and content are registered in your name and can be exported as files. The software itself is usually a subscription, whether you use separate tools, an all-in-one platform or a Hub built on eStage.

02In what order should I build an online business system?

Start with the domain and email setup, then a website with one offer and one form, then the CRM and a welcome email. Add the store and checkout next, the course once people buy, and the community last.

03How much does it cost to build an online business system?

As of 31 October 2026, separate tools for website, booking, email and automation cost about $92 a month on annual billing. All-in-one software costs about $81 to $143 a month. A done-with-you build from Pro Mind Hub starts at $2,997 plus a Care plan from $197 a month. Payment processing fees come on top in every case.
